 $51,734 to $51,734 + Washington State Employee Benefits
FLSA: Full-time, Non-Exempt

The WSBA's mission is to serve the public and the members of the Bar, to ensure the integrity of the legal profession, and to champion justice.

Purpose and Position Summary:

The Equity and Justice Programs Coordinator is part of the Equity and Justice Team. The primary purpose of the Equity and Justice Programs Coordinator is to provide administrative and programmatic support to the Equity and Justice Team.

Primary Job Duties and Responsibilities:

Equity and Justice Team Administrative Support

  • Handle operational tasks for the Equity and Justice Team including but not limited to processing reimbursements, invoices and payments, facilitate contract approval processes, manage team communications (e.g., daily check and responding to several team email inboxes), maintenance of team web spaces (e.g., WBSA webpages, Alliance for Equal Justice website), responding to public inquiries for legal help, managing list serves (e.g., adding and deleting member names, reviewing moderated list serve messages) and supporting marketing for programs and events.
  • Administratively support the Equity and Justice Team members on program-specific projects (e.g., support Minority Bar Association-related events and communications, process members’ request for access to public service CLEs, process members’ request for pro bono recognition) and volunteer support (below).
  • Lead team operations improvement projects including identifying and implementing in consultation with the team new systems for better efficiencies (e.g., improved filing systems, more accessible WSBA and Blink (internal staff) webpages, improved internal team processing of reimbursements, honorariums, and invoices).

Volunteer Support

Under the direction of and in partnership with the Chief Equity and Justice Officer, Equity and Justice Leads and Specialist, the Programs Coordinator provides varying levels of support for the volunteer entities they manage including the Access to Justice Board, the Council on Public Defense, the DEI Council, the Pro Bono and Public Service Committee and Washington State Bar Foundation Board. Tasks include but are not limited to:
  • Handle the scheduling of volunteer meetings including creating, sending out and monitoring calendar polls and reserving video conference links.
  • Open video meetings and troubleshoot members’ access to the meetings.
  • Draft and prepare meeting minutes and update WSBA website with approved meeting minutes.
  • Compile and distribute meeting materials and update the WSBA website with meeting materials.
  • Process volunteer expense reimbursements and invoices.
  • Maintain rosters for volunteer groups on all platforms (e.g., WSBA website, Personify, Lyris) and monitor meeting attendance.
  • If the volunteer entity is meeting in person, handle the meeting logistics including reserving meeting space and ordering catering, room set-up, clean-up, etc.
  • Develop and improve systems better communications and workflow with various volunteer entities.
  • Partner with Chief Equity and Justice Officer, Equity and Justice Leads and Specialist to support, advance and inform the substantive work of the entities.

Event Planning and Coordination

The Equity and Justice Programs Coordinator collaborates with the rest of the Equity and Justice Team to provide varying levels of support on virtual, in-person and hybrid events (e.g., Law Student Reception, Access to Justice Board’s Post-Goldmark Luncheon Session and regional meetings and receptions, Access to Justice Conference, Pathways to the Profession Summit) including but not limited to:
  • Support the Equity and Justice Lead (ATJ) and Access to Justice Conference Planning Committee on conference goals and planning and executing on conference logistics.
  • Assist with leading in strategic planning to determine format, content delivery and marketing of various events.
  • Research and secure appropriate venues that adhere to the WSBA accessibility policy.
  • Work with WSBA Conference Services and off-site vendors to coordinate room set up, building, parking and A/V needs, catering, furniture, dishware, and linen rentals and other event logistics.
  • Work with Chief Equity and Justice Officer, Equity and Justice Leads and Specialist on budget planning, executing contracts, processing event related invoices and payments.
  • Collaborate with Communications and Outreach Department for event promotion.
  • Provide support to attendees who have questions about the upcoming events and/or need accommodations.
  • Prepare event materials such as nametags, sign-in sheets, brochures, programs, etc.
  • Coordinate day-of event details and post-event needs such as evaluations and follow-up communications.

Team Collaboration

  • Work collaboratively with the Equity and Justice Team and other WSBA departments and teams to implement WSBA’s diversity, equity, and inclusion plan.
  • Contribute to Equity and Justice Teamwork like equity analyses for proposed BOG actions and promoting DEI values within the team.

  • Perform other duties as assigned

Education Required:

  • High school degree or combination of relevant education and work/lived experience.

Experience Required:

  • Experience in program coordination, administrative support, event planning and working on a team.

Experience Preferred:

  • Experience working in a nonprofit organization, government agency, or member association.
  • Experience working with or serving as a volunteer on boards or committees, experience working with legal professionals, and a demonstrated commitment to equity and justice.

Competencies (Skills/Abilities) Required:

  • High degree of proficiency with Microsoft Office 365 productivity software (Teams, Word, Outlook, Excel, and PowerPoint)
  • High degree of comfort with learning and using technology
  • Exceptionally well-organized and able to work in a fast-paced environment with a demonstrated ability to project manage, juggle multiple and competing demands, prioritize and re-prioritize to meet deadlines.
  • Continual and conscientious attention to detail in drafting and proofing written work.
  • Ability to anticipate next steps, take initiative, exercise sound judgment, and work well independently and as a member of the team.
  • Ability to effectively work virtually with team members that this position supports.
  • High level of interpersonal skills to communicate with staff colleagues, volunteers, partner organizations and agencies, the public and members.
  • Requires demonstrated poise, tact, and diplomacy, and the ability to interact with individuals at all levels of the organization.

Competencies (Skills/Abilities) Preferred:

  • Proficient with a variety of social media platforms and can quickly become proficient with the organization’s content management system (website), member database, and list serve application.

Working Conditions:

This position, while primarily remote, must be flexible to work in office or travel within WA state as deemed necessary, or as required. This position may also have the option to work in-office. For remote work, must have an adequate home/work environment and internet access, for performing work of a highly sensitive and confidential nature.

Employment with the Washington State Bar Association mandates that WSBA Staff must reside and be able to work within the State of Washington at the time of hire, and during active employment status.

The essential functions of the job that must be performed, with or without a reasonable accommodation: This position must be able to regularly work five days per week in an office type environment (remote or in office), possess the ability to primarily sit/stand and use a computer, and lift/push/pull items weighing up to 25 pounds. Must be able to operate a computer keyboard, and other standard office equipment (e.g., printer/scanner/fax/telephone). This position must be able to read, write, and speak with others in English.
