Job Summary
Performs accounts receivable functions for the College at campuses and for District Business Services such as cashiering, accounts receivable and mailroom services providing customer service to students, community members and other staff while communicating with other internal departments and external agencies; handles student account balances, modifying/correcting student ledgers to match with the registration activity; assists students with payment options by collecting and overseeing all aspects of the payment plan structure each term as well as predicting when students may be receiving financial aid applications to their ledgers; analyzes and processes credit balances to student or other entities based on the available information and guidelines within Department; creates and maintains invoices for third-party billings to customers with non-student services and those agencies that relate to student tuition and fee billings; and troubleshoots various requests, such as BankMobile disbursements with processed refunds/stipends and statuses.
Responsibilities
- Analyzes student account ledgers; processes credit balances to student or external agencies; and generates the credit balance reports.
- Makes manual corrections to student ledgers due to billing issues with various types of activity that are not related to the billing and fee structure such as - billing method changes, grade changes and program changes that should not cause duplicate/incorrect billings on student ledgers.
- Handles BankMobile returns including funds that have been returned back to Central Arizona College due to issues with checks not cashing within a certain time period and or checks being returned to BankMobile disbursements.
- Creates invoices for customers and agencies.
- Process payments both in person and over the phone; makes payment plan manual modifications each month or when Financial Aid has posted to a student ledger; reviews FAFSA for students; reviews related SAP and documents; collects items and ensures accuracy before sending to processors; and troubleshoots payment plan setups that involve reaching out to Financial Aid to create an academic year in order to proceed.
- Addresses third party billing.
- Replies to student and third-party phone calls, messages and email requests; processes mail and packages (USPS, UPS, FedEx, and courier); and issues and keeps track of keys.
- Creates and maintains third-party invoicing to customers for non-student services and student billings to agencies.
- Responds to WIG, a College initiative and makes sure students do not end the semester without knowing their financial responsibility and providing resources to assist students to help with that responsibility.
- Performs other duties commensurate with functions and level of position or as assigned.

Employment with Central Arizona College is contingent upon the successful completion of the background verification. The level the background verification for this position is: Standard level.
Knowledge, Skills, & Abilities
- Knowledge of the general principles and practices of accounts received and preparation of standard/periodic financial reports.
- Knowledge of federal, state and local laws, rules and regulations pertaining to financial reports and records.
- Knowledge of specific budget or account processes, policies and procedures concerning fiscal control and processing operations.
- Skill in computing mathematical calculations.
- Skill in keeping related records for providing proof of a variety of financial transactions in order to verify accuracy, match against documentation, code to proper accounts, prepare necessary forms, post transactions, reconcile balances, and generate a variety of financial reports.
- Skill in operating computer accounting systems, word processing applications, spreadsheets, and database manipulation.
- Skill in interacting with a culturally diverse population, College administrators, faculty, staff, students, and the public Skill in communicating, both verbally and in writing.
- Skill in providing information and training to staff, students, or the public.
- Ability to work both independently or as part of team to apply workflow processes to meet deadlines imposed by fiscal cycles.
- Ability to analyze situations, develop solutions, and make independent decisions based on established guidelines.
Important Notice: As a condition of employment, all full time Central Arizona College employee’s automatically become members of the Arizona State Retirement System (ASRS). This is a pension system that requires mandatory contributions from the employee with a matching contribution from the employer. The 24-25 fiscal year contribution rate is 12.27%.
