JOB SUMMARY

The Illinois Public Health Institute is seeking an experienced, energetic, and well-organized team member to join the Center for Community Capacity Development (CCCD). The Program Associate will primarily support community health assessment, strategic planning, training, and technical assistance (TA) projects within the CCCD. The Program Associate works collaboratively with staff and partners to provide planning and administrative support for multisector collaborations engaged in assessment, planning and policy, systems and environmental change activities as well as providing capacity building activities including training, 1:1 and group TA sessions, and learning collaboratives. Responsibilities include coordinating logistics for meetings/trainings; developing meeting/training materials; summarizing and synthesizing group discussions; supporting community-engaged assessments and planning; writing and editing reports; qualitative data analysis; database management; grant writing; and supporting communications initiatives. The Program Associate plays a vital role in ensuring the smooth implementation of program activities and fostering collaboration among various stakeholders.

This position is full-time, exempt, and reports to the Center Director. IPHI’s standard work week is 37.5 hours.

ABOUT THE CENTER FOR COMMUNITY CAPACITY DEVELOPMENT

The Center for Community Capacity Development (CCCD) provides training, consultation, and strategic planning services to public health system partners to support activities including assessment, action planning, strategic planning, performance management, quality improvement, and implementation and evaluation of evidence-based strategies, policies and systems change.?

 

DUTIES AND RESPONSIBILITIES:

Project Management

  • Provide administrative and program support to CCCD capacity-building projects.
  • Help program managers monitor work plan activities and timelines to implement program goals and deliverables.
  • Arrange and support conference calls, online meetings, and webinar series.
  • Support planning, coordination, and logistics for events.
  • Schedule meetings, organize and manage logistics, produce meeting agendas and related materials, and document meeting content and action steps.
  • Maintain records and information on project-related stakeholders, participants, and other contacts through IPHI’s Salesforce system and other project management systems.
  • Communicate with participants and coordinate presenters and facilitators for training and other collaborative projects.
  • Research best practices, policies, and innovation in scholarly literature, practice organizations, and national/state policy organizations.
  • Develop a working knowledge of relevant project grants, work plans, deliverables, reporting requirements, and associated timelines.
  • Support program manager and/or center director with grants and contracts management.

Strategy, Planning, and Program Development

  • Support quantitative and qualitative data analysis, data visualization, evaluation activities, and report writing.
  • Research best practices, policies, and innovation.
  • Provide support to grant development activities including participating in drafting grant proposals.
  • Apply health equity and racial equity frameworks and tools to program planning, systems development, partnership and engagement strategies, and evaluation.

Relationship Management and Communication

  • Support program managers and directors with all aspects of relationship management, communication, and documentation for external partners.
  • Provide logistical communications to achieve program deliverables.
  • Assist with facilitation of group discussions with community members and organizational partners.
  • Participate in community and partnership meetings and take notes.
  • Serve as a key customer relations contact. Serve as liaison to contractors and partners working with IPHI on project planning and implementation.
  • Prepare narrative and visual summaries of qualitative and quantitative data for partners and IPHI team members.
  • Contribute to publications such as blog posts, case studies, and success stories. Collaborate with communications staff to develop content for newsletters, website, and/or social media.

 

Resource Development

  • Provide support to IPHI resource development activities including participating in drafting grant proposals.

 

Continuous Improvement and Evaluation

  • Conduct assessments and scans for information to support program design and execution.
  • Assist in updating evaluation tracking tools and collecting program evaluation data; support distribution of online surveys.
  • Identify and recommend opportunities to improve the execution of tasks, including but not limited to improving administrative and operational systems related to the program.
  • Work with the program staff to identify and solve problems, address barriers, and conduct quality assurance and quality improvement activities.
  • Monitor workgroup and partner activity and achievement of milestones and outcomes.
