This historically valuable material documents the academic and administrative responsibilities of the University as well as the experiences of its students, alumni, officers, faculty, staff, and benefactors. archives.nd.edu

The Hesburgh Libraries of Notre Dame is looking for an energetic, customer focused library professional to join our team in the role of Archives Reference Specialist. Reporting to the Department Head of University Archives, the Archival Reference Specialist supports all aspects of patron and reference services of the University Archives, with an emphasis on photographic material. The position identifies relevant materials to support the university’s teaching, learning, research, and administrative needs. The position requires knowledge of archival theory and practice and an educational background in humanities or liberal studies.

Duties include:
  • Support reader services operations using professional best practices. Correspond with internal and external patrons to answer complex reference questions and guide patrons toward relevant collections and assets pertaining to a particular topic. Interpret and determine levels of access and use per existing legal instruments such as Deeds of Gift, transfer agreements, and applicable copyright laws.

  • Facilitate reproduction requests through the digital imaging of photographic and two-dimensional materials utilizing best practices. Edit digital files using appropriate technologies and equipment such as digital cameras, flatbed scanners, slide scanners, and associated software. Creates, embeds, and manages descriptive, technical, and rights management metadata.

  • In collaboration with colleagues, help create and maintain documentation of policies and procedures, make recommendations for improving services, and implement change to increase effectiveness. Maintains and analyzes use and user data to increase the department’s operational efficiency and functionality. Hire, train, and supervise student workers to assist with these tasks.

Minimum Qualifications

  • Bachelor’s Degree
  • Highly effective written, oral, and interpersonal communication skills, with the ability to address customer expectations for various audiences.
  • Established understanding of the principles of archival theory, practice, standards, and proper handling of unique and fragile materials.
  • Experience with digitization and the use of appropriate tools.
  • Familiarity with intellectual property issues related to archives and special collections. Demonstrated ability to organize and prioritize work, with strong project management skills and the ability to use considerable judgment and initiative.
  • Demonstrated ability to work independently and collaboratively in a fast-paced environment. Effective at meeting deadlines, adjusting priorities, and working on multiple projects simultaneously.
  • Ability to be organized, productive, and effective in a dynamic environment, with the capacity to engage with others to identify challenges and opportunities.
  • Must be able to lift boxes up to 40lbs

Preferred Qualifications

  • Experience accessioning and processing archival photographic collections.
  • Knowledge of archival arrangement and description and metadata standards for archival materials.
  • Knowledge of or experience working with Aeon, ArchivesSpace, or similar archival content management tools.
